01Exact applicant and authorized signer
A business requesting credit should identify its exact legal name, trade name, entity type, billing and service addresses, responsible contacts, authorized requesters, invoice recipient, and a signer with authority to bind the organization. Dispatch may separately verify whether a person may request work, approve a material change, choose a destination, or place a charge on the account.
02Separate and secure application process
The website and ordinary email are not a secure credit-application portal. Do not send Social Security numbers, full bank or payment-card numbers, government-ID images, passwords, authentication codes, tax returns, personal-guarantee documents, or consumer reports through the commercial inquiry form. If credit review becomes available, Tommy's should identify the required information and approved transmission channel first.
03Written decision and account scope
Only a written approval should establish an account, effective date, credit limit, authorized locations, services, requesters, billing contacts, purchase-order rules, invoice timing, payment due date, taxes, disputed-charge process, and any lawful late, collection, suspension, or security term. Silence, prior service, a quote, an invoice, or a website submission is not approval.
04Dispatch and price remain job specific
A credit account does not dispatch a truck or guarantee priority, coverage, equipment, availability, arrival, destination acceptance, or a fixed price. Each request still requires live confirmation of customer authority, vehicle, pickup, requested work, access, safety, destination, price or estimate, and assignment. A material change may require additional approval under the account rules.
05Invoices, questions, and disputes
The customer should compare each invoice with the authorized requester, service date, vehicle, pickup, destination, work, estimate, approved changes, waiting, tolls, storage, taxes, credits, and purchase order when applicable. Report a questioned charge promptly with the invoice number, disputed item, supporting record, requested correction, and an undisputed-payment plan if required by the signed agreement.
06Account review, suspension, and records
An account may be reviewed, limited, suspended, or closed according to its written terms, payment history, authorization controls, risk, changed business information, service scope, safety, fraud concerns, or law. Application, decision, agreement, requester, estimate, invoice, payment, dispute, collection, and closure records should be retained and protected according to the applicable agreement, retention schedule, and legal duties.
