How to Schedule Vehicle Transportation

Call live Kansas City dispatch at 816-588-8888 for current availability.

Start with a safe, accurate request

A scheduled vehicle move is more than a date on a calendar. Dispatch must qualify the vehicle, pickup access, destination acceptance, route, timing, handling requirements, payer, and applicable operating authority before confirming an assignment.

Step-by-step

01

Define the transportation request

Provide the exact vehicle, pickup, destination, reason for movement, preferred date or window, and whether the request is local, long-distance, commercial, auction, dealer, repair, residence, or another authorized move.

02

Qualify the vehicle condition

Explain whether the vehicle starts, rolls, steers, brakes, shifts, has keys and power, and has AWD, 4×4, EV, low-clearance, damaged, modified, locked-wheel, oversized, loaded, or high-value characteristics.

03

Verify pickup authority and access

Confirm who owns or controls the vehicle, who will release it, required identification or documents, gate and facility rules, loading hours, clearance, appointment requirements, auction or dealer release numbers, and whether fees are owed at pickup.

04

Verify destination acceptance

Confirm the complete address, receiving contact, hours, after-hours procedure, unloading location, gate or dock access, key handoff, payment or storage implications, and whether the facility will accept the vehicle in its actual condition.

05

Confirm route authority and fulfillment

For longer or interstate moves, dispatch must verify that the exact operating entity or disclosed provider has the authority, insurance, equipment, and route capability required for the request. This page does not make that confirmation.

06

Approve the schedule and estimate

A preferred window is not a confirmed assignment. Obtain live confirmation of the pickup plan, price or estimate, change conditions, payment arrangement, cancellation terms, contact procedure, and the person authorized to approve updates.

What to prepare

Vehicle packet

Year, make, model, trim, VIN or stock number when appropriate, dimensions or weight when unusual, drive type, keys, power, wheel and suspension condition, modifications, cargo, photos, and manufacturer transport instructions.

Pickup packet

Address, entrance, facility and release contact, release or lot number, hours, appointment, gate or security steps, clearance, loading space, fees, document requirements, and alternate contact.

Destination packet

Address, receiving contact, hours, acceptance confirmation, after-hours instructions, unloading position, key procedure, gate or dock details, and plan if the destination refuses delivery.

Timing and communication

Preferred date or window, hard deadlines, flexible alternatives, closure or weather risks, required status updates, and authorized contacts at both ends. Do not promise a precise arrival time before dispatch confirms it.

Important limits

  • The website form does not reserve a date, dispatch a truck, create a bill of lading, or confirm interstate authority.
  • A preferred pickup or delivery window is conditional on availability, access, route, weather, facility rules, vehicle condition, and lawful operating limits.
  • Tommy's does not claim current long-distance, interstate, specialty, auction, dealer, EV, or high-value fulfillment until live dispatch verifies the exact request and provider.
  • Personal items, hazardous materials, loose cargo, passengers, pets, and unapproved contents may not travel with the vehicle; disclose them before assignment.

Questions drivers ask

How far in advance should I schedule?

Call as soon as the vehicle, access, destination, and preferred window are known. Availability varies, and a request is not reserved until live dispatch confirms the assignment.

Can I schedule through the website?

You can prepare an email draft with the request details, but that does not schedule or assign transportation. Live dispatch must qualify and confirm the job.

Do I need to be present at pickup or delivery?

Not always, but an authorized release and receiving process must be confirmed. The operator may need identification, keys, documents, access, payment, or a person authorized to approve changed conditions.

How can I verify an interstate motor carrier?

Ask for the exact legal carrier name and USDOT or operating-authority identifiers, then check current federal records when applicable. A website name or broker statement alone is not proof of active authority.

Safety first.
